Roles and permissions that can be assigned to users

User roles

Organization admin

This role gives the user access to all modules available to end users. Organization admin can:

  • create, edit, and delete users,

  • create, publish, and delete content,

  • create courses,

  • enroll users into courses,

  • set content for a specific course.

Organization admin has access to organization settings (general organization information, personalization/branding, advanced options, organizational structure...). They have access to subscription management and can purchase content from the content store for users within the organization.

HR manager

This role gives the manager access to user, content, and course management. They can:

  • create new, edit, and delete users,

  • create, publish, and delete content,

  • create courses,

  • enroll users into courses,

  • view and manage reports,

  • set content for a specific course.

If limited access is applied (toggle), the HR manager can view the data above only for their organizational unit. This applies to the organizational unit they are a part of. 

Basic user

Without special permissions, this user only operates in basic – learner mode. This user has access to:

  • personal profile,

  • courses the user is enrolled in,

  • courses in the Catalogue (if the option is available),

  • messages and notifications,

  • personal wishlist and

  • personal statistics.

This user can view and take courses they have been enrolled in, take assessments for their courses, rate, and comment on courses they have previously completed, and send messages to other users within their organization.


Permissions Descriptions

Content developer

  • This permission is granted to users who will be creating content for courses. Usually, these are instructors, specialists, or educators. They can edit content they are assigned to (as authors of the content).

  • Content developers can create new content, edit it and publish and review it. They can however not create courses. 

Content administrator

  • This permission is granted to users who are responsible for overseeing the content creation process.

  • Users with this permission can view but not edit drafts, give feedback, and send comments on content to content developers and publish the content once it has been submitted for publishing by the content developer.

  • Content administrators can not create new content or courses. 

Organizational unit manager

  • Users with this permission are granted access to view organization content and statistics (reports) for their unit's users (and sub-units users).

Statement Approver and Statement Approver Limited

  • The Statement Approver role provides full access to course management, and the Reporting tabs, allowing for course creation and management, assigning approvers (compliance), managing and confirming records.

  • In contrast, the Limited Statement Approver can still access the Course Management tab, but is restricted to accessing the Courses per User section under the Reporting tab, but only for courses where they are designated as an approver. While they cannot assign new approvers, they can confirm records that have been assigned to them, ensuring focused and limited management capabilities aligned with their assigned responsibilities.


Additional roles and permissions

Course catalogue

  • All roles and permissions can enroll and confirm enrollment for other users.

  • When enrolling basic users, Enrollers are the users who can enroll other basic users in the course catalogue without granting them access to them. After they are enrolled, the Confirmers are the ones confirming the users' enrollment.  If needed, two confirmes can be assigned so the confirming can be done in two stages. 

Instructors

Anyone within the organization who is enrolled in the specific course can be a course instructor. They can be assigned directly when managing a specific course under the second section titled User Management. To learn more see user e-course user management, and live course user management

  • They can view messages and notifications received from the users of the course and answer them.

  • They receive notifications about users' successful course completion.

  • They sign off on attendance for Live courses - their signature is generated on the Attendance list. See Reporting - live course.

Revisioners

Revisioners are responsible for revising the created content. They need to be assigned. For more about their role see revision.
